Board of Directors Meeting

December 16, 2015

The meeting held at Tim Schick’s (1223) was called to order at 8:05 p.m.

Board Members Present:  Craig Downie, Tim Schick, Mickey Alford-Lane and Petra Raymond

Secretary’s Report:  Craig moved the Board accept the minutes of the October 14 meeting as written.  Seconded by Mickey.  Unanimous.

The board accepted Tim’s offer to serve as the board Secretary.

Treasurer’s Report:  Petra reviewed issues related to her assumption of treasurer duties. The board agrees, without objection, that mickey would be the second signer on bank accounts.

The process for providing documents to new homebuyers was discussed. Petra will determine if our documents are up to date.

It was agreed to invite Lucy Renault of the Reston Association to the January meetings to assist board members in understanding the Heather Knoll Board’s role is relative to enforcement and monitoring of RA regulations.

Landscaping: The board agreed without objection to establish a committee of four residents to identify and make recommendation related to cluster landscaping. Judy Holmes, Melinda (Mindy) Merk, Jeff Bohnslav and Doug Raymond would be asked to participate. The committee would be expected to direct resident concerns to the board and to get approval before incurring expenses.

The board discussed seeking bids for contracted services every three to five years.

Drainage: The board reviewed the status of the drainage problem between 1233 and 1235. The preferred contractor has gone out of business. Craig offered to reach out to other vendors to obtain new quotes.

Social: In light of the turnover in board members, the need to continue welcoming new residents was discussed.

Next Meeting: The board agreed to hold its next meeting January 20 at 8 p.m. at Tim’s house (1223).
